1. Introduction
We’re The RecShop CIC — a multi-purpose music space that makes a difference.
Founded in 2015, our mission is to make the music industry more accessible by providing opportunities for young and emerging artists to create, learn, and grow.
We achieve this through our free Studio Drop-In sessions, Artist Accelerator Academy (AAA), The RecFest — our annual community music festival — and by facilitating volunteering and work experience placements that help develop creative and professional skills.
Our space also operates as a venue and studio available for hire, with facilities including a bar, merchandise, and vinyl shop. Income generated through these activities is reinvested into our community projects.
These Terms and Conditions apply to your use of this website and any transactions relating to our products and services. You may also be required to agree to additional terms or contracts depending on your relationship with us or the services you receive. If any additional agreement conflicts with these Terms, the additional agreement will take priority.
2. Binding Agreement
By registering with, accessing, or otherwise using this website, you agree to be bound by these Terms and Conditions.
Your use of this website confirms that you have read, understood, and accepted these Terms. In certain circumstances, we may also ask you to provide explicit agreement to specific terms or conditions.
3. Electronic Communication
By using this website or communicating with us electronically, you agree that we may communicate with you electronically, including through our website or by email.
You acknowledge that electronic communications, including agreements, notices, disclosures, and other information provided electronically, satisfy any legal requirement that such communications are provided in writing.
4. Intellectual Property
We, or our licensors, own and control all copyright and other intellectual property rights relating to this website and the content, information, and resources displayed or made available through it.
4.1 All Rights Reserved
Unless otherwise stated, no licence or other right is granted to you under any copyright, trademark, patent, or other intellectual property rights.
You must not copy, reproduce, modify, display, distribute, publish, transfer, download, transmit, reverse engineer, decompile, sell, commercially exploit, or otherwise use any content or resources from this website without our prior written permission, except where permitted by law.
4.2 Use of Third-Party Content
If a client records, performs, or incorporates music, lyrics, backing tracks, samples, or any other material owned by a third party during a studio session, The RecShop CIC does not grant any licence or permission to use that material.
The client is solely responsible for obtaining any licences, permissions, or consents required for their intended use of the recording.
Where such permissions have not been obtained, use of the recording may be restricted by applicable copyright law.
The RecShop CIC accepts no responsibility for any unauthorised use of third-party content.
The RecShop CIC acknowledges that clients may use the studio to create rehearsal recordings, demonstrations, educational projects, or private reference recordings. Nothing in these Terms grants any copyright licence or affects the rights of third-party copyright owners. Clients remain responsible for ensuring that their use of copyrighted material complies with applicable law and any required licences.
5. Studio Bookings and Cancellation
5.1 Paid Studio Sessions
All paid studio session bookings must be paid for in accordance with our booking process.
If you need to cancel your booking, please provide as much notice as possible.
If you cancel more than 48 hours before your scheduled session, you may request either to reschedule your booking to a future available date or receive a full refund.
If you cancel within 48 hours of your scheduled session, your booking is non-refundable and cannot normally be rescheduled.
Where The RecShop CIC needs to cancel a paid studio booking due to circumstances outside of your control, we will offer either a full refund or the opportunity to reschedule your session to a mutually convenient date.
5.2 Free Youth Programme Studio Sessions
Participants in our Youth Programme receive an allocated number of free studio hours.
If you cancel a Youth Programme booking more than 48 hours before your scheduled session, the booked studio hours will be returned to your allocation and may be rebooked.
If you cancel within 48 hours of your scheduled session, or fail to attend your booking, the studio hours will not be returned. You will need to wait until your next allocation period (10 weeks) before receiving a new allocation of free studio hours.
5.3 Studio Equipment
Clients are responsible for taking reasonable care of all studio equipment, instruments, furniture, and facilities during their booking.
Any damage caused through deliberate misuse, negligence, or failure to follow reasonable instructions may result in the client being charged for the reasonable cost of repair or replacement.
If any equipment is found to be faulty or damaged upon arrival, clients should notify a member of staff immediately. Failure to report existing damage may result in the client being held responsible for damage that occurs during their session.
The RecShop CIC reserves the right to recover reasonable costs associated with repairing or replacing damaged equipment where appropriate.
6. Venue and Space Hire
These provisions apply to bookings for the hire of The RecShop CIC venue, whole space, or individual spaces within the venue.
6.1 Whole Venue Hire
The current day-hire rate for the whole venue is £300.
Whole-venue day hire provides access within the venue’s standard availability window of 10:00am to 10:00pm.
The £300 day-hire rate does not require the Hirer to use the entire 10-hour availability window. Hirers must provide The RecShop CIC with their intended arrival and departure times when making their booking.
The booking confirmation will confirm the agreed booking arrangements.
6.2 Back Space Hire
The back space may be hired separately at a rate of £30 per hour, subject to availability.
Where the whole venue is hired, use of the back space is included within the whole-venue hire.
6.3 Booking Times, Set-Up and Pack-Down
The Hirer is responsible for ensuring that their booking provides sufficient time for arrival, set-up, their event or activity, and pack-down.
All set-up and pack-down must take place within the Hirer’s agreed booking period.
Hirers should not assume that they will be able to access the venue before their agreed arrival time. Access arrangements are subject to availability and the operational requirements of The RecShop CIC.
Hirers must vacate the premises and complete pack-down by their agreed departure time.
Any request to extend the booking beyond 10:00pm must be agreed with The RecShop CIC in advance. Additional hire after 10:00pm is charged at £100 per hour, subject to availability, and the premises must be fully vacated by 1:00am.
6.4 Supervision and Responsibility
The Hirer is responsible for the conduct of their booking and for ensuring that appropriate adult representatives are present throughout the hire where required.
The Hirer is responsible for ensuring that their attendees, guests, suppliers, contractors, performers and other persons attending as part of the booking comply with these Terms and any reasonable instructions given by The RecShop CIC.
The Hirer must use the premises only for the purpose stated at the time of booking and must not exceed the agreed maximum capacity.
The maximum capacity for whole-venue hire is 100 people, subject to any applicable licensing, safety or operational restrictions.
6.5 Care of the Premises
The Hirer is responsible during the booking for taking reasonable care of the premises, including its fixtures, fittings, furniture and facilities.
At the end of the booking, the Hirer must:
- leave the premises clean and tidy;
- remove rubbish and personal belongings;
- return furniture and equipment to the appropriate locations;
- ensure that any items brought into the premises are removed;
- report any damage, loss, fault or other issue to The RecShop CIC as soon as possible.
If additional cleaning is required as a result of the Hirer’s booking beyond reasonable use, The RecShop CIC reserves the right to recover the reasonable cost of the additional cleaning.
6.6 Venue Equipment and Property
Any equipment, furniture, fixtures, fittings or other property belonging to The RecShop CIC remains the property of The RecShop CIC.
Venue property must not be removed from the premises without prior permission.
Hirers must use venue equipment and property with reasonable care and in accordance with any instructions provided.
Any damage or fault affecting venue equipment or property must be reported to The RecShop CIC as soon as it is discovered.
Where damage, loss or breakage results from deliberate misuse, negligence, failure to follow reasonable instructions, or other avoidable actions by the Hirer or persons attending their booking, The RecShop CIC may recover the reasonable cost of repair or replacement.
6.7 Hirer’s Own Equipment
Any equipment or electrical appliances brought onto the premises by the Hirer or their suppliers must be safe, in good working order, and used responsibly.
The Hirer is responsible for ensuring that any equipment they bring onto the premises is suitable for use and does not create a health, safety, fire or other risk.
6.8 Cleaning, Furniture and Decorations
Furniture may only be moved where reasonably necessary for the Hirer’s booking and must be returned to its appropriate position at the end of the booking.
Any decorations, temporary fittings or displays must be agreed where necessary and must not damage the premises or create a fire, health or safety risk.
Nothing may be attached to walls, fixtures, fittings or other parts of the premises in a way that could cause damage without prior permission from The RecShop CIC.
The Hirer is responsible for making good or paying the reasonable cost of repairing any damage caused by decorations, temporary fittings or other items brought into the premises.
6.9 Permitted Use
The Hirer must not:
- use the premises for any unlawful purpose;
- use the premises for a purpose that was not agreed at the time of booking;
- sub-let or transfer the booking to another person or organisation without prior permission;
- exceed the agreed capacity;
- do anything that may endanger people or property;
- do anything that may invalidate or affect The RecShop CIC’s insurance or licensing arrangements;
- permit smoking inside the premises;
- permit illegal drug use on the premises;
- cause unreasonable disturbance, excessive noise or disruption to neighbouring businesses or other users of the building.
The RecShop CIC reserves the right to refuse or terminate a booking where the proposed or actual use of the premises is unlawful, unsafe, unsuitable, or materially different from the purpose agreed at the time of booking.
6.10 Licensing and Legal Requirements
The Hirer is responsible for ensuring that their event or activity complies with all applicable laws, regulations, licences and requirements.
Where a booking involves activities requiring specific permissions, licences or authorisations, the Hirer is responsible for obtaining and complying with those requirements unless otherwise agreed in writing.
The Hirer must comply with any reasonable requirements relating to fire safety, safeguarding, licensing, health and safety and the operation of the premises.
6.11 Children and Vulnerable Adults
Where the Hirer’s activities involve children or vulnerable adults, the Hirer is responsible for ensuring that appropriate safeguarding arrangements are in place and that their activities comply with applicable legislation and guidance.
The RecShop CIC’s own safeguarding policies do not remove the Hirer’s responsibility for safeguarding participants involved in their booking.
6.12 Accidents, Damage and Faults
The Hirer must report any accident, injury, dangerous occurrence, damage or equipment fault to an authorised representative of The RecShop CIC as soon as possible.
The Hirer must cooperate with any reasonable request to record or investigate an incident.
The Hirer may be responsible for the reasonable cost of repairing damage to the premises, fixtures, fittings, furniture or equipment where that damage results from the actions or negligence of the Hirer or persons attending their booking.
6.13 Personal Property
The RecShop CIC is not responsible for personal belongings, equipment or other property brought onto or left at the premises by the Hirer, their guests, suppliers or other attendees, except where liability cannot legally be excluded.
Hirers should remove all personal property at the end of their booking.
6.14 Venue Access and Operational Requirements
The RecShop CIC may need to retain access to areas of the premises that are not included in a particular booking.
Hirers must follow reasonable instructions from The RecShop CIC staff regarding access, safety, equipment, furniture, noise and the use of the premises.
Operational requirements may mean that certain requests cannot be accommodated, including requests for access outside the agreed booking period.
7. Venue Booking Payments and Cancellation
7.1 Payment
Whole-venue and space-hire bookings require a 50% deposit at the time of booking.
The remaining balance must be paid no later than the day before the event.
A booking is not confirmed until the required deposit has been received, unless otherwise agreed in writing.
Any additional services or agreed extras may be charged separately.
7.2 Cancellation by the Hirer
The 50% booking deposit is non-refundable.
Where a booking is cancelled with at least 14 days’ notice, The RecShop CIC may, at its discretion, offer either a refund of payments made or the opportunity to reschedule the booking, subject to availability.
Cancellations made less than 14 days before the booking are non-refundable and are not ordinarily eligible for rescheduling.
Any exceptional arrangements remain at the discretion of The RecShop CIC.
7.3 Cancellation by The RecShop CIC
We reserve the right to cancel a booking where necessary due to circumstances outside our reasonable control, licensing or legal requirements, safety concerns, the premises becoming unavailable or unsuitable, or where we reasonably believe the proposed use of the premises would be unlawful or inappropriate.
Where we cancel a paid booking, we will offer either a full refund of payments made for the affected booking or an alternative booking date, where appropriate.
The RecShop CIC will not be liable for indirect or consequential losses arising from a cancellation to the extent permitted by law.
8. Fire and Emergency Requirements
The Hirer must comply with reasonable fire safety and emergency procedures provided by The RecShop CIC.
Emergency exits and fire safety equipment must not be obstructed or interfered with.
The Hirer must ensure that attendees are made aware of relevant emergency procedures where appropriate.
In the event of an emergency, the Hirer and attendees must follow instructions from The RecShop CIC staff, emergency services or other authorised personnel.
9. Insurance and Third-Party Suppliers
Where the nature of a booking requires specialist contractors, suppliers, performers, caterers, equipment providers or other third parties, the Hirer is responsible for ensuring that they are suitably qualified and appropriately insured where required by law or by the nature of the activity.
The Hirer remains responsible for the conduct and activities of third parties engaged by them in connection with their booking.
10. Car Parking and Loading
Parking and loading arrangements are subject to availability and any restrictions applicable to the premises and surrounding area.
Vehicles and personal property are left at the owner’s risk, except where liability cannot legally be excluded.
Hirers must ensure that loading, unloading and deliveries do not obstruct access, emergency routes or other businesses.
11. Newsletter Subscription
By registering for our free Youth Programme, you may also be invited to subscribe to The RecShop CIC newsletter. This is clearly stated on the registration form before you submit your application.
Our newsletter may include updates about the Youth Programme, studio news, events, workshops, opportunities, and other relevant information from The RecShop CIC.
You can unsubscribe from our newsletter at any time by clicking the unsubscribe link in any email or by contacting us directly.
12. Third-Party Websites
Our website may contain links to third-party websites for your convenience.
We do not control or endorse the content, products, services, or privacy practices of these websites. If you choose to visit a third-party website, you do so at your own risk and should review the relevant terms and privacy policies.
13. Responsible Use
By using our website, you agree to use it only for lawful purposes and in accordance with these Terms.

You are responsible for activity carried out through your account and should notify us as soon as possible if you believe your account has been accessed without permission.
We reserve the right to suspend or close accounts where we believe there has been misuse of our website or services.
15. Termination of Use
We may suspend or terminate your access to our website or services where we reasonably believe there has been misuse, a breach of these Terms, or where necessary for operational or security reasons.
We may also update, modify, suspend, or discontinue parts of our website or services from time to time. We will make reasonable efforts to minimise disruption, but we cannot guarantee that the website or all services will always be available.
You must not attempt to bypass any security measures or access restrictions on our website.
16. Warranties and Liability
We take reasonable steps to ensure that the information on our website is accurate and up to date. However, we do not guarantee that the website or its content will always be available, complete, accurate, or free from errors.
We may update, change, or correct information on our website at any time.

You are responsible for your use of our website, services and the premises.
You agree to reimburse The RecShop CIC for any reasonable losses, costs, or expenses arising from your breach of these Terms or misuse of our services or premises, where permitted by law.
21. Waiver
If we do not immediately enforce any part of these Terms, this does not mean that we have waived our right to enforce that term in the future.
22. Language
These Terms and Conditions are provided in English.
If we provide a translated version for convenience, the English version will take priority.
23. Entire Agreement
These Terms and Conditions, together with any specific booking terms, policies, booking confirmations, or agreements provided by The RecShop CIC, form the agreement between you and The RecShop CIC regarding your use of our website, services and premises.
Where a specific written booking agreement or additional terms have been provided for a particular booking, those terms will take priority where they conflict with these general Terms and Conditions.
24. Updating These Terms and Conditions
We may update these Terms and Conditions from time to time.
The date shown at the beginning of these Terms indicates the latest revision date. Where appropriate, we will provide notice of significant changes or updates.
Your continued use of our website following any changes means that you accept the updated Terms and Conditions.
